Hard Drive: The hard drive is also called the hard disk. You will probably never see it because it is nestled inside your computer. It’s the computer’s electronic filling cabinet, and it stores the computer’s operating system, files, programs and documents.

Keyboard: Just like a typewriter keyboard, this device is the primary way of inputting data into the computer programs.

Megahertz (MHz): This is the clock speed of the microprocessor. The higher the number, the quicker the information is processed. MHz relates to how many millions of instructions can be processed per second.

Memory:This is the circuitry or device that holds information in an electrical or magnetic form. There is read-only memory (ROM), which is information primarily stored on a disk, and random-access memory (RAM), which is chip-based storage inside the computer. Memory is typically measured in megabytes (MBs).

Modem:This mechanism connects a computer to a phone line so information can be sent from one computer to another or the user can access an on-line service or the Internet. In view of the popularity of the Internet, a modem is now considered basic equipment and comes on practically all-new computers. Most modems come with fax capabilities.

Monitor: An output device that allows you to see what you are doing (it is what you are looking into right now to see this). Most computers come with 14 or 15-inch monitors. This size is good for most people’s needs. Larger 17 or 21-inch monitors also are available, but may cost more. Myself, I prefer the 17-inch.

Motherboard:The motherboard is the circuit board that everything in the computer plugs into. The CPU, RAM and cache all plug into the motherboard.

Mouse: The mouse is another input device that makes getting around in your computer easier. It is a handheld object that is good for doing tasks such as moving and pointing to objects on the screen, and can replace the function and control keys of the keyboard. Printer: A printer is an essential part of the computer if you want a hard copy of your work. There are four types of printers on the market: dot matrix, inkjet, bubble jet and laser. The dot matrix is the most basic. Most inkjets and bubble jets can print color and graphics, and a laser printer offers the best resolution at the highest speed.

RAM:Computers save data in two ways: on the hard drive and in random access memory or internal memory. New computer buyers should look for models with at least 16 MBs of RAM (or more, depending on what types of programs you will be running). Make sure that the computer can be upgraded.

Scanner:A scanner is a useful accessory to have if you are working with lots of artwork or photos. This device can copy written documents, pictures or photographs directly into your computer. There are three types of scanners: handheld, hopper-feed and flatbed.

Sound Card: This device allows your computer to reproduce music, sounds and voices. Make sure you have a sound card if you are planning to play multimedia games.

Video Card: The video card is the part of the computer that sends the images to the monitor.

3. Keep all software up to date
Many times, hackers take advantage of weaknesses in older versions software or operating systems to install a keylogger on your computer; generally, the manufacturer becomes aware of these weaknesses as hackers begin to exploit them, and manufacturers work hard to ensure that the latest version of their software has fixed such security holes. To keep your computer safe, always keep your software, and especially your web browser, up to date. 4. Never download anything from an untrustworthy source
Never download any program or file from a source that you do not trust; malicious keylogging software is often hidden in what seems to be a harmless download – you may download a program or file which seems to work correctly, however in the background a keylogging software has quietly been installed on your computer. Never download any attachment from an email address that you do not trust, and when downloading files off the web, be sure that you only download from reputable websites.

Although many people feel that an anti-virus software is enough to keep their computer safe, this is simply not the case. The My Computer window is displayed. Click View system information. The Systems Properties dialog box is displayed. In the Systems Properties dialog box click the Advanced tab. Under Performance, click Settings. The Performance Options dialog box is displayed. In the Performance Options dialog box, click the Advanced tab. Find the Virtual memory area. Click Change. The Virtual Memory dialog box is displayed. Here you can change the page file settings. DO NOT exceed the limit given in the properties box of your windows system. 2. STORING FILES ON THE MAIN DRIVE: Do not store lots of data on the main drive, which is where you install your windows operating system. Storing software like games, finance programs and other software on another drive of your computer is another way to improve computer performance. The instructions on how to do this depends on the operating system so it is best to check the help section of your computer’s operating system. 3. RESETTING START UP MENU: The speed with which your computer boots depends on the amount of programs that are set to be started automatically at booting. Removing unnecessary and unwanted programs from the start up process can greatly speed up computers at the start up level. 4. TURN OFF SYSTEM RESTORE: Having the system restore option on takes a lot of space from the hard drive. Freeing up a lot of physical memory by turning off system restore can significantly speed up computer and improve computer performance. To access System Restore: click START, then click ACCESSORIES, click SYSTEM TOOLS, then click SYSTEM RESTORE. Once there click edit settings and then turn off the system restore option. 5. CLEANING INTERNET CACHE AND COOKIES: Temporary Internet files affect browser speed, as well as, computer speed in general. Regularly cleaning the cache and cookies is a great way to improve computer performance and speed. To clean the cache and cookies: Just click Tools from your browser tool bar and click on Internet Options to delete and clear cache and cookies. When you save your file, use the ‘PPS extension’ – this is the power point show option. When you email your draft presentation to your boss for review, save it as a show. When he or she opens it, it will run automatically and save your professionals valuable time. For your convenience, when you want to preview a presentation in your document directories, just ‘right click’ on it and select ‘show’.

Create A Summary Slide Quickly

Open your PPT file and go to the ‘View’ Menu/Slide Sorter option or click on slide sorter depending on which program you use. Now select the slides you want to use for your ‘Summary’ slide, use the Ctrl key to select a number of slides at once, now on the slide sorter toolbar, choose ‘Summary Slide.’ A new slide will appear at the front of the first selected slide. To edit your summary slide, just double click and edit as normal.

EXCEL

When you want to ‘preview’ the entire workbook and edit from print preview, use the ‘entire workbook’ function located at the bottom left of the instruction menu. This view makes it easier and more efficient to eliminate unwanted page breaks, versus trying to edit them globally. It is also much more accurate, since it is a wysiwyg view.

Selective Cell – Copying

Leave out ‘hidden’ cells when you are copying your excel sheet or workbook. Use your ‘left hand’ mouse to click on ‘edit’, then ‘go to’. Once you are in the Go To window, single click on ‘special’ – choose ‘visible cells only’ and click on OK. Only the cells you see in your workbook will now be copied over.

WORD

Use a ‘non-breaking space’to keep your words together in a line or paragraph of your document. Using Ctrl, Shift, Spacebar, after ‘each word’ in the phrase, will keep your text united.

Format Breaking – ‘Continuous Page Break’

Use this function if for instance you have plain text on page one, page two is in columns, and page three is a different style, or has a different font. Create a continuous break between each page to maintain all of your formatting properties for each page.

Across all MicroSoft programs, you should have your computers set to do an automatic backup every 5 minutes or less, depending on the size of your documents. In Word, I suggest using every 3-4 minutes as you are likely using import and export functions with graphics etc.
